1. Data controller

2. What data we process and why

• Brief form: name, email, phone, company details and message. We use them to prepare an offer and contact you (Art. 6(1)(a) and (b) GDPR).
• Application form: name, email, CV and message. We use them for recruitment (Art. 6(1)(a) GDPR).
• Email and phone correspondence: to respond to your enquiry (Art. 6(1)(f) GDPR).
• Comments and messages on our social media profiles: your name or profile name and the content of your comment or message. We use them to answer questions and moderate discussions on our profiles (Art. 6(1)(f) GDPR). We are supported by an AI-based tool that drafts suggested replies. A person approves every reply before it is published.

3. How long we keep data

Brief data is kept until talks about cooperation end, and if we work together, for the duration of the contract and the limitation period for claims. Recruitment data is kept until the recruitment ends, unless you agree to be considered for future openings.

Comment and message data processed by our moderation tool is kept for 90 days and then deleted automatically. The comment itself remains on the social network under that network's rules.

4. Recipients

Data may be shared with service providers we use for website hosting, form handling and email. Where a provider processes data outside the European Economic Area, this is based on standard contractual clauses or a European Commission decision (e.g. the EU-US Data Privacy Framework).

To handle comments and messages we also use: Meta Platforms (Facebook, Instagram), Anthropic (Claude AI model, drafting suggested replies) and Telegram (notifications for moderators).

5. Your rights

You have the right to access, rectify and erase your data, restrict processing, data portability and to object. You can withdraw consent at any time without affecting the lawfulness of processing before withdrawal. You may also lodge a complaint with the Polish supervisory authority (Prezes Urzędu Ochrony Danych Osobowych).

You can ask us to delete data processed by our moderation tool by emailing hello@hellohigroup.com. We will delete it within 30 days.

Providing data is voluntary, but without it we cannot prepare an offer or consider your application.

6. Cookies

This website does not use analytics or marketing cookies and does not track your activity. Only cookies strictly necessary for the site to work may be used.

You can delete or block cookies at any time in your browser settings.
